The purpose of this notice is to tell you what information we collect and hold about you, what we do with it, how we will look after it and who we may share it with. We also explain your rights in respect of your information and the choices you can make about the way your information is used and where you can opt out of your data being shared with other organisations.

The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, contacts, and characteristics (for example, name and contact details)
  • Information you have provided in your CV and covering letter, including but not limited to, name, title, address, telephone number, email address, date of birth, gender, employment history, qualifications, and employment references.
  • Information you have provided in the application process
  • Information from your LinkedIn profile
  • Information you provide during an interview

We may also process the following special categories of personal data:

  • Information about your health, including any medical conditions

We will use information about your disability status to consider whether we need to provide appropriate adjustments during the recruitment process.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you. We also receive personal information indirectly, from the following sources

  • LinkedIn Profile
  • Your named referees from whom we will collect your previous job title, start date, end date and reason for leaving
  • Referrals from recruitment agencies

The personal data will be used for one of the following reasons:

  • Communicate with you about the recruitment process
  • Assess your skills, qualifications, and suitability for the role
  • Carry out background checks where applicable
  • Comply with our legal obligations

We may share this information with our third-party background check supplier, who act as our data processors.

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

  • Where none of these are appropriate, then we will approach you for your consent (Article 6(1)a)
  • Where we need to comply with the law, we may process data based on our legal obligation (Article 6(1)c).
  • We may need to process your data based this on our legitimate interest (Article 6(1)f).

How we store your personal information

Your information is securely stored. The organisation has internal policies and controls in place to try to ensure that your data is not lost, accidentally destroyed, misused, or disclosed, and is not accessed except by its employees in the performance of their duties e.g., systems restrictions, secure files, locked cabinets.

Where the organisation engages third parties to process personal data on its behalf, they do so on the basis of written instructions, are under a duty of confidentiality and are obliged to implement appropriate technical and organisational measures to ensure the security of data.

If data is transferred outside of the UK or EEA, we will ensure that any transfer is in accordance with Data Protection legislation and any identified risk is mitigated.

Personal data will be retained in line with our internal retention procedures and will be permanently deleted once the retention period expires. We keep candidate data for 6 months after the application process is complete. Candidate data will then be deleted fully.

Your data protection rights

Under data protection law, you have rights including:

Your right of access - You have the right to ask us for copies of your personal information.

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
